How EdLeadia collects, uses, and protects personal information.

EdLeadia is operated by Tye Norbraten, a sole proprietor based in British Columbia, Canada. Tye Norbraten is EdLeadia’s Founder and designated Privacy Officer.

This Privacy Policy explains how EdLeadia collects, uses, discloses, stores, protects, and manages personal information when you visit the website, create or use an account, access member features, use the Reflection Coach, submit forms, communicate with EdLeadia, participate in interviews or advisory activities, or use paid services when they are enabled.

“Personal information” means information about an identifiable individual. This policy is intended to reflect British Columbia’s Personal Information Protection Act and other Canadian privacy requirements that may apply to particular EdLeadia activities.

This policy should be read together with the Terms of Use and the Content & Data Transparency page. It does not replace professional obligations, school or district policy, employment requirements, safeguarding procedures, or legal advice.

Depending on how you use EdLeadia, the following categories of information may be collected:

• Account information: name, email address, username, account and membership status, login activity, selected Leadership Focus, preferences, and authentication-related information.
• Contact and support information: information submitted through contact forms, support requests, feedback forms, surveys, or email.
• Platform-use information: pages visited, features and support tools used, progress or completion markers, timestamps, browser and device information, IP address, referral information, approximate region derived from technical information, and website-interaction data.
• Reflection Coach information: prompts, responses, timestamps, conversation identifiers, technical metadata, feedback, and related usage information.
• Interview and advisory information: information voluntarily provided through interviews, surveys, advisory activities, story submissions, testimonials, or research-informed content activities, which may include recordings, transcripts, written responses, professional-role information, and consent choices.
• Communication preferences: email preferences, mailing-list status, and unsubscribe records.
• Payment and subscription information: when paid subscriptions are enabled, plan selection, payment status, renewal status, billing contact information, and transaction records.

EdLeadia does not intentionally collect precise GPS location through the website.

EdLeadia is intended for professional reflection, not confidential case management. Do not submit information that is confidential, identifying, highly sensitive, or that you are not authorized to share.

• student, family, staff, school, or district names;
• identifying workplace details or unusual incidents that could reveal a person or school;
• student, personnel, medical, disability, disciplinary, or safeguarding records;
• HR files, employment investigations, legal documents, or privileged communications;
• passwords, complete payment-card numbers, government identifiers, or security credentials; or
• information concerning abuse, violence, self-harm, emergencies, or safety risks that must be addressed through official reporting or emergency processes.

EdLeadia may use personal information for identified and reasonable purposes, including to:

• create, authenticate, secure, and manage accounts;
• provide member access, support tools, and enabled platform features;
• remember selected preferences, Leadership Focus, and progress;
• respond to questions, support requests, feedback, or privacy requests;
• operate, secure, troubleshoot, maintain, and improve the website;
• detect misuse, fraud, abuse, or security incidents;
• provide and improve the Reflection Coach;
• evaluate content usefulness and the advisory experience;
• administer interviews, surveys, advisory activities, and testimonials;
• send account, security, service, or requested communications;
• send optional news or marketing communications when the appropriate choice or consent has been provided;
• process subscriptions when paid services are enabled; and
• meet legal, accounting, tax, security, and dispute-resolution obligations.

EdLeadia does not sell or rent personal information.

EdLeadia seeks consent appropriate to the sensitivity of the information and the purpose for which it is collected, used, or disclosed.

Some processing is necessary to provide a requested service. For example, account information is required to provide member access, and a Reflection Coach prompt must be transmitted to the AI service provider to generate a response.

Optional activities may require a separate choice or consent, including:

• marketing or newsletter emails;
• interviews, surveys, advisory activities, or testimonials;
• public or member-facing use of a direct leader excerpt;
• non-essential analytics or cookies where applicable; and
• optional research or product-improvement activities.

You may withdraw consent for optional activities by emailing support@edleadia.com or using an available unsubscribe or preference control. Withdrawal may limit an optional feature and does not invalidate processing that occurred lawfully before withdrawal.

If EdLeadia proposes a materially different use of previously collected information, additional notice or new consent will be provided where required.

The Reflection Coach is provided using CustomGPT.ai. When you submit a prompt, the prompt, relevant knowledge-base context, generated response, and related technical information are transmitted to and processed through CustomGPT.ai and its authorized infrastructure, model providers, and subprocessors.

EdLeadia may review Reflection Coach conversations only for reasonable operational purposes, including:

• troubleshooting or responding to a user’s support request;
• investigating misuse, safety, or security concerns;
• improving the quality, boundaries, and usefulness of the Coach;
• identifying missing or unclear knowledge-base content; and
• evaluating the advisory release.

Reflection Coach conversations will not be published, quoted, used as testimonials, treated as research data, or transformed into EdLeadia content without separate permission. They will not be used to evaluate a user’s employment, professional competence, or suitability for a school-leadership role.

AI-generated responses may be incomplete, inaccurate, or unsuitable for a particular context. The Reflection Coach does not make automated decisions about employment, discipline, eligibility, educational access, or other matters that significantly affect an individual.

Participation in EdLeadia interviews, advisory cohorts, surveys, feedback activities, testimonials, or research-informed content projects is voluntary.

Before participating, contributors will receive information appropriate to the activity, including:

• what information will be collected and why;
• whether recording or transcription will occur;
• how material may be analyzed, edited, or transformed;
• whether excerpts may appear publicly or in member-facing content;
• how identifying details will be handled;
• whether participation is compensated;
• any withdrawal or deletion limitations; and
• how to ask questions or raise concerns.

Direct leader excerpts are used only where the applicable permission supports that use. Other material may be paraphrased, generalized, combined, or synthesized across multiple participants.

Raw identifiable interview transcripts are not intended to be placed into the Reflection Coach. Cleaned, anonymized, or synthesized insights may be included in its curated knowledge base where the applicable permissions support that use.

EdLeadia and its hosting, security, membership, form, and website-service providers may use essential cookies, local storage, log files, or similar technologies to keep users signed in, remember preferences, maintain security, prevent misuse, operate forms, and provide member features.

EdLeadia may also use analytics to understand general platform use, such as pages visited, device or browser type, referral source, approximate region, and interaction patterns.

Non-essential analytics, advertising, or marketing technologies will be described and managed separately when enabled. Browser or cookie-preference settings may be used to control available choices, although disabling essential cookies may prevent some features from functioning.

EdLeadia may use service providers for website hosting and backups, security and performance, accounts and membership management, forms, email delivery, analytics, audio or media delivery, payment processing when enabled, and AI-supported reflection.

Service providers receive or process information reasonably required to perform their services, subject to their agreements, technical settings, legal obligations, and privacy practices. EdLeadia remains responsible for personal information under its control, including information processed by service providers on its behalf.

Personal information may be processed or stored outside Canada, including in the United States. Information processed in another jurisdiction may be subject to that jurisdiction’s laws and lawful-access requirements.

EdLeadia may disclose personal information:

• with the individual’s consent;
• to providers acting on EdLeadia’s behalf;
• when required or authorized by law, court order, warrant, or legal process;
• to investigate misuse, fraud, threats, or security incidents;
• to protect the rights, safety, or security of EdLeadia, users, or others; or
• as part of a future business transfer, subject to appropriate confidentiality and legal requirements.

EdLeadia retains personal information only for as long as reasonably necessary to provide a requested service, fulfil an identified purpose, maintain security, meet legal or accounting requirements, resolve disputes, or enforce agreements.

When information is no longer reasonably required, EdLeadia will delete it, anonymize it, or remove the means of associating it with an individual, subject to technical backup cycles and legal requirements. Information used to make a decision that directly affects an individual will be retained for the period required by applicable law.

EdLeadia uses reasonable administrative, technical, and organizational safeguards appropriate to the nature and sensitivity of the information. These may include access controls, account authentication, restricted administrative access, software updates, security tools, backups, provider controls, and procedures for privacy requests and incidents.

No internet-based service can guarantee absolute security.

If a privacy or security incident occurs, EdLeadia will investigate, take reasonable containment and corrective measures, document the incident as appropriate, and notify affected individuals or privacy regulators where required or appropriate under applicable law.

You may submit a written request to:

• learn whether EdLeadia holds personal information about you;
• request access to your personal information;
• request correction of inaccurate or incomplete information;
• request deletion where applicable;
• withdraw consent for an optional activity; or
• raise a privacy question or complaint.

Email support@edleadia.com with “Privacy Request” in the subject line. Provide enough detail to identify the relevant account, communication, or record. EdLeadia may need to verify your identity before responding.

EdLeadia will generally respond to a formal access or correction request within 30 days, subject to permitted extensions, legal exceptions, identity verification, and any fee permitted by law.

Some information may need to be retained for legal, accounting, security, dispute-resolution, or backup purposes. EdLeadia may also be unable to retrieve information that has already been anonymized or aggregated.

EdLeadia will make reasonable efforts to resolve complaints directly. Individuals may also have the right to contact the Office of the Information and Privacy Commissioner for British Columbia or another applicable privacy regulator.

EdLeadia is designed for adult educators and school leaders. It is not directed to children or students, and users must not submit identifiable information about children or students through forms, interviews, feedback tools, or the Reflection Coach.

If EdLeadia learns that a child has directly submitted personal information, reasonable steps may be taken to delete the information and restrict the related access.

EdLeadia may send service-related messages concerning accounts, security, access, support, policy changes, or requested information. Optional newsletters, announcements, or marketing messages will include an unsubscribe method where required. Unsubscribing from marketing does not prevent necessary account or service communications.

EdLeadia may update this Privacy Policy as the platform, service providers, legal requirements, or data practices change. The “Last updated” date will be revised when changes are made.

Where changes are material, EdLeadia may provide additional notice through the website, account interface, or email. Where required, new consent will be obtained before applying a materially different use to previously collected personal information.
