The Reflection Coach is provided using CustomGPT.ai. When you submit a prompt, the prompt, relevant knowledge-base context, generated response, and related technical information are transmitted to and processed through CustomGPT.ai and its authorized infrastructure, model providers, and subprocessors.
Conversation retention
EdLeadia configures the Reflection Coach to automatically delete conversations after 30 days. Deletion is subject to CustomGPT.ai’s technical systems, legal obligations, security logs, and backup processes.
Model training
According to CustomGPT.ai’s current privacy documentation, customer content and user queries are not used to train public AI models unless a customer explicitly opts in.
Administrator access
CustomGPT.ai provides administrative tools that may allow EdLeadia’s administrator to review prompts, responses, conversation history, technical metadata, usage analytics, intent, language, and other conversation insights.
EdLeadia may review Reflection Coach conversations only for reasonable operational purposes, including:
- troubleshooting or responding to a user’s support request;
- investigating misuse, safety, or security concerns;
- improving the quality, boundaries, and usefulness of the Coach;
- identifying missing or unclear knowledge-base content; and
- evaluating the advisory release.
Reflection Coach conversations will not be published, quoted, used as testimonials, treated as research data, or transformed into EdLeadia content without separate permission. They will not be used to evaluate a user’s employment, professional competence, or suitability for a school-leadership role.
The Reflection Coach is not a confidential professional service. Do not enter names or confidential student, staff, family, school, HR, legal, medical, disciplinary, safeguarding, or workplace information. A short version of this notice should also appear immediately beside the Coach input.
AI-generated responses may be incomplete, inaccurate, or unsuitable for a particular context. The Reflection Coach does not make automated decisions about employment, discipline, eligibility, educational access, or other matters that significantly affect an individual.
